Based at Berlin at the Berlin School of Business and Innovation campus, the Personal Assistant will give dedicated support to the CEO of BSBI and to the Chief Academic Officer.

The role is an all-encompassing and extremely important one within our commercial business. You will be responsible for managing the day-to-day schedule of the Chairman of 4 schools including BSBI, HTK, London School of Business and Innovation and LCCM as well as the Chief Academic Officer. Duties include arranging functions/events, conferences, meetings with both internal and external executives and stakeholders, extensive diary management, overseeing and organising international travel, and generally offering high a level of support.

Efficiency, an eye for detail, and pro-activeness, are prerequisites of this position as well as great interpersonal skills which are imperative in order to succeed and progress within this fast moving, and rapidly expending company.

Responsibilities

  • Liaising with senior staff at regional, national and international higher education institutions, professional bodies, associate centres and other similar institutions with the CEO & has professional relationships.
  • Coordinating and servicing meetings. This will include drafting agendas, researching items and taking minutes and following up actions. Meetings may include complex negotiations.
  • Ensuring the CEO / Chief Academic Officer receives all necessary papers for meetings in good time and that action points are progressed.
  • Project coordination support as required by the CEO / Chief Academic Officer.
  • Proactively managing communication with the CEO / Chief Academic Officer’s direct reports by preparing briefing notes, etc.
  • Dealing proactively with mail, including preparing draft responses, seeking information from relevant sources, resolving issues and ensuring any resulting deadlines are diarised and met.
  • Organising corporate and senior management events.
  • Helping to develop and maintain effective integrated information retrieval systems with an increasing emphasis on automated IT systems.
  • Providing effective diary management.
  • Managing and overseeing the travel bookings via an external agent and making sure staff travelling under the BSBI cost code are adhering to the rules and boundaries and flagging any that are above limits.
  • Translation of documents from German to English and being able to type up correspondence as dictated or directed by the CEO and writing at time on his behalf.
  • Monitoring budgets, gathering and compiling and manipulating information on spreadsheets and presenting this in a digestible format.
  • Other duties as required by the CEO / Chief Academic Officer from time to time.
    Under the day-to-day direction of the Principal, working collaboratively ensuring a proactive and seamless administrative service. This will include filtering telephone calls, reception of visitors, diary management, progress chasing, drafting letters and audio/copy typing.

Role: Careers and Corporate Relations Manager

We are looking for a Careers and Corporate Relations Manager to join our Student Services team for 40 hours per week full-time.

Tasks and responsibilities

  •  Managing relationships with BSBI alumni, companies, corporates, and other external partners to help increase the range and variety of networking opportunities for students with corporate contacts through workshops, alumni, and company visits and events
  • New partnership acquisition by continually sourcing relevant partnership opportunities through inbound lead follow-up and outbound cold calls, emails and client visits
  • Work with the Academic team at BSBI to create and nurture the link between our partners’ requirements and the teaching delivered.
  • Coordinating and supporting on and off campus (recruitment) events, career fairs, company visits, and company presentations in close contact with alumni and companies
  • Collecting placement statistics
  • Preparing students in job search strategies and interview techniques through personal coaching and workshops
  • Advising students on applications for working student jobs, internships, and full-time jobs
  • Assist Marketing team in creating the CV books, placement reports, and other publications
  • Create and maintain the online career centre
  • Assist in the preparation of the marketing material required for the promotion of the talents of our students and general promotion material for company visits

Qualifications and skills

  • Experience in recruiting, interviewing, and/or advising people, preferrably students (although not essential)
  • Sales or client relationship management experience in a B2B and B2C environment
  • A client-oriented attitude, common sense and a practical approach
  • Full fluency in English and German (minimum B2 level in each language)

Campus Manager

In this position, as a full-time member of the senior team, you are in charge of the college’s facilities, Health & Safety, Reception management and all associated aspects - coordination and control of external providers such as appliances, craftsmen, catering, security, cleaning etc. and corresponding contract management.

You are also responsible for the project managing campus moves and / or acquisition of additional space, space planning and establishing the college’s requirements by working closely with the Head of Operations and the supporting team.

Role: Programme Coordinator Manager

Reporting to: Head of Operations

Role summary: The Programme Coordinator Manager is the College’s operational lead for all administration associated with the student lifecycle from enrolment through to graduation, and for the co-ordination of student life activity. You will also be managing a small team and taking an appropriate share of the day to day workload.

Key activities and responsibilities: 

  • Creation, maintenance and dissemination of the teaching and assessment timetable and rooming, along with oversight of ad hoc space booking;
  • Operation and development of student enrolment and induction processes and events
  • Maintenance of and reporting from student enrolment, attendance and assessment systems, ensuring student records are maintained in a timely and accurate fashion according to College and partner policy and procedure, and that data collection, processing and sharing is lawful and GDPR-compliant.
  • Registration of students with awarding bodies, and subsequent update of records; 
  • Operation of student attendance recording and monitoring, ensuring that registers are maintained in class and on the central system with associated reporting, all conducted in a complete, accurate and timely manner;    
  • Receipt, processing and recording of all assessment marks, together with all related administration and reporting, including support and servicing of assessment gigs, assessment boards and academic appeals procedure;
  • To act as the College principle awarding bodies’ correspondent - undertaking confirmations of attendance and subsequent change of circumstances and general liaison; 
  • To act as the College’s principle correspondent in relation to post-admission matters, including the maintenance and updating of student records, including relating to attendance, as required;
  • Operational realisation and management of College policy relating to Student Attendance, Discipline and Complaints; 
  • Servicing and supporting Programme and Student Committees and Staff/Student Forum;
  • Organisation, data entry and analysis for internal student feedback surveys;
  • Production of student documentation on both planned and ad hoc basis, including student letters, etc;

Role summary: 

To deliver a friendly, efficient reception front-of-house and administrative service for BSBI, providing administrative support to key staff in the School and a warm and welcoming atmosphere for all guests at all times.

  • Building a good working knowledge of all departments across the campus to ensure good communication levels between departments, students/guests so as to provide a smooth and efficient service

  • Handling any complaints/problems appropriately and bringing them to the attention of the manager

  • Verifying access for all students, guests and staff onto the premises as per Campus rules, ensuring there is strictly no breach of security policies or procedures

  • Adhering to service standards from time-to-time established - i.e. - all guests (non-ID holders) must be accompanied at all times whilst on the premises and if guests are waiting for a 10 minutes to inform with the appropriate department as necessary, ensuring racks of information sheets, leaflets, student recruitment paperwork and timetables are stocked etc

  •  Assist and manage contractors and deliveries by communicating with the relevant staff and ensuring assistance where necessary

Administration

  • Providing general administrative support to members of the management team and academics, as required
  • Assisting with the printing of class materials for tutors

  • Update student attendance in the student database as requested by the Academic / Administrative departments

  • Maintain and update filing, inventory, mailing, and database systems and disseminating information to departments

  • Updating the student database with student data as required by the Academic /Administrative departments and making sure that student information is correct

  • Assisting the Management on daily basis in areas such as research, order, purchase orders and dealing with suppliers

  • Type, format, proofread, and edit correspondence and other documents

  • Managing and ordering office stationery supplies in collaboration with the Finance department

Qualifications/Education

  • Bachelor degree or equivalent vocational qualification

Knowledge & Skills

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology

  • Knowledge of principles and processes for providing customer service

  • Effective verbal and written communication skills

  • Ability to work as part of a small team as well as individually

  • Good working knowledge of Microsoft Office and business applications, databases etc

 Responsibilities

  • Teaching the assigned academic modules according to the curriculum.
  • Administering, proctoring and marking all students‘ assignments and exams papers of all assigned classes.
  • Amending or designing and developing a new curriculum for a Module if required.
  • Updating a Syllabus or Syllabi if required.
  • Supervising a number of Dissertations per academic year (if required).
  • Providing consultation and mentoring to students.
  • Creating assignment briefs and exams papers.
  • Providing feedback to students using positive reinforcement techniques to encourage, motivate, or build confidence.
  • Teaching students study skills relevant to programmes and exam-taking strategies.
  • Providing, if needed, private instruction to individual or small groups of students to improve academic performance and to prepare for exams.
  • Assessing students' progress throughout tutoring sessions.
  • Scheduling tutoring appointments with students.
  • Monitoring student performance or assisting students in academic environments, such as classrooms, laboratories, or computing centers.
  • Organising the tutoring environment to promote productivity and learning.
  • Participating in training and development sessions to improve tutoring practices or learn new tutoring techniques.
  • Communicate effectively with students and convey passion for learning.
  • Maintaining records of students' assessment results, progress, feedback, or school performance, ensuring confidentiality of all records.

  • Developing content, both written and recorded, as directed by the Chief Academic Officer.
  • Researching or recommending textbooks, software, equipment, or other learning materials to complement tutoring.
  • Communicating students' progress to students in written progress reports, in person, by phone, by e-mail and/or teleconferencing.
  • Identifying, developing, or implementing intervention strategies, tutoring plans, or individualised education plans (IEPs) for students.
  • Performing day-to-day tasks such as maintaining information files and processing paperwork related to teaching activities.
  • Provide feedback to students on their progress.
  • Playing a proactive role in promoting the School.
  • Providing all students with tutor support to develop their assignments
  • Participating in School‘s activities as required by the Chief Adacemic Officer.

 PROFESSIONAL COMPETENCIES

  • PhD or DBA (Master degree or MBA in specific cases)
  • Prior teaching experience in higher education at University level
  • Very good knowledge of Windows OS, of MS Office suite (Excel, Word, Outlook, PowerPoint) and Microsoft Teams
  • Scientific publications in a related discipline
  • Fluent in spoken and written English (C2 level)
  • Knowledge of German is desirable
  • Knowledge of Educational Platforms (i.e. Canvas, Blackboard etc.)
  • Working knowledge of timetabling software
  • Sound knowledge of study regulations and rules
