Responsibilities

  • Overseeing all the administrative and academic activities of all the UG/PG programmes that the Faculty of Creative Industries is offering within the current and also a potential future structure.

PROFESSIONAL COMPETENCIES

  • Undergraduate and postgraduate degrees in the domain of Creative Arts (PhD is desirable)

Position: Head of Students Services

We are looking for a Head of Student Services (m/f/d) for our team to manage non-academic student affairs for our Berlin, Hamburg and Athens campuses. This is a full-time role is based on our Berlin campus. In this role, you will be reporting to the Head of Operations.

Your tasks

  • As Head of Student Services you oversee our non-academic student affairs, including International Affairs Office, accommodation, careers, student engagement, and pastoral care.
  • You are leading and coordinating our Student Service team, shaping the overall structure, assigning individual team member tasks and coordinating team processes and schedules.
  • You oversee the work of our student welfare officers in Hamburg and Athens, and you coordinate the administrative efforts of our support team in Hyderabad.
  • You ensure high levels of student satisfaction and collect regular student feedback through satisfaction surveys
  • You coordinate the work of the Student Council and Student Council Presidents, mostly related to student engagement activities and the development of the student community

Your profile:

  • You have at least 5 years’ experience in the field of customer service
  • Prior experience working in the adult education/higher education sector, preferably with international students.
  • You are a natural leader who enjoys motivating and inspiring your team members, coordinating them to ensure efficiency while keeping an empathic leadership style
  • You have outstanding communication skills and are able to communicate at different levels, ranging from young students to key figures in German public administration

Position: Exams and Assessments Officer

BSBI is recruiting for a new, full-time position in the Exams and Assessments department. The Exams and Assessments Officer will provide support to all registered BSBI students and academic staff for matters relating to exams, assignments, grading, and graduating documentation. This position reports to the Exams and Assessments Manager.

In this role you will process day-to-day tasks of the exams and assessments services provided by the BSBI. Your tasks and responsibilities will include, but are not limited to:

  • Being the central point of contact for all student and staff enquiries related to examinations and assessments. This includes release of assignments, notifying tutors of marking and deadlines, and releasing grades to students.
  • Assisting in the organisation of on campus examinations, including but not limited to, timetabling, sourcing examination papers, approval from partner institutions, preparing printouts and rooms for examinations, processing of exam papers, and examination invigilation.
  •  Liaising with academic partner institutions with regards to student grades and records.
  • Processing Examinations and Assessments administration
  • Taking on the role as main administrator for a programme and covering all required administration for that programme with minimal supervision.
  • Organising and administration of Academic Misconduct Panels to deal with cases of academic misconduct or cheating.
  • Developing and implementing internal procedures where current procedures may be found to be lacking or in need of updating.
  • To track student academic progress, and flag students who may be experiencing difficulties, need intervention, or to be forwarded to a withdrawal board due to lack of academic progress.
  • Tracking the costs of re-takes for students and ensuring all those fees are paid before students obtain results, dissertation supervisors, progression etc.

ESSENTIAL KNOWLEDGE, SKILLS AND EXPERIENCE:

  • Previous work experience in an administrative position
  • Exceptional organizational skills and attention to detail are both a must in this position due to the volume and importance of data handled on a daily basis.
  • Excellent verbal and written communication skills
  • Fluency in English
  • High level of computer literacy (MS Office, particularly Excel)
  • Ability to work to tight deadlines
  • The ability to work independently, whilst still following a strict set of regulations.

Desired skills:

  • Previous experience in educational administration

Role Summary

Reporting to the Management Accountant, this role will include:

  • Processing of employee expense reimbursement, credit cards, expense claims and petty cash
  • Assisting with posting payments in Data Base and bank reconciliation process
  • Perform creditor reconciliations on a regular basis
  • Liaising and resolving outstanding queries with suppliers
  • Assisting with day-to-day banking, particularly electronic banking, including online bank statements (balance and transaction enquiries) and setting up and releasing payments
  • Assisting in the preparation and review of monthly expense report
  • Assisting with all aspects of accounts receivable to include debtors’ reconciliation, payment reconciliation, posting invoices etc.
  • Other administrative duties including document profiling and filing etc.
  • Assisting Management Accountant, Financial Controller and GFD with tasks and projects as required
  • Assisting with the preparation of other ad hoc reports including preparation of budgets, and forecasts, audit queries as required

Other activities as required to support the Finance team and the wider operation in delivery, including holiday and absence cover for the other team members

Qualifications & Education

  • Competent in MS Office Software, especially MS Excel (intermediate and above level)
  • Able to analyse data and present information in a clear manner

About the role

· You will be a key member of BSBI accounting team, performing accounting entries, preparing the appropriate documentation and assessing the accounting treatment of business transactions

· You will provide support in various reporting and analysis tasks

· You will participate in month-end closing activities and look for ways to apply your experience to ensure we continue improving and developing processes

· Using Datev and Excel-based analysis from accounting data, you will provide the management team with financial insight and decision-making information in corporation with BSBI’s Finance Manager

· You will work together with our tax advisers on tax matters

· You will help align and improve our accounting system to ensure it best reflects the organization's structure

· You will use your experience to develop meaningful ideas to implement new business procedures

About you

· You are an accountant with 3+ years of professional experience in financial accounting and have passed the Bilanzbuchhalter exam

· You have a full understanding of the requirements of German GAAP, HGB and German tax regulations

· You have good knowledge of IFRS

· Experience working with Datev and advanced knowledge in Excel

· You are fluent in English and German language; English is our office language, but due to job requirements, German fluency is required
